Vision, Visipay, VSM, Genesis

Your Sybiz 2011 Release pack will soon be on its way to you directly from Sybiz. It includes: Sybiz Vision 11.0, Sybiz Visipay 11.0 SQL , Sybiz Visipay 9.60, Sybiz Genesis 2.0 and Sybiz VSM 11.0. (If you have not received your pack by 14/11/11 then please contact Sybiz Business Care on 8130 7000.)

Why you should be interested in arranging for this upgrade!

This latest release of the Sybiz product range includes over 400 improvements in Vision (since Version 8), and over 150 improvements in Visipay (since version 9.5). Whilst many of these may not seem important – those customers who do upgrade get the benefits of these improvements, often without noticing it. What do we mean? Well often we find that when reviewing issues for customers (not on the latest version of the software), we find that those issues have actually been resolved, and thus the customer would have had no issue with this if they had been on the latest version.

Software Testing

Whilst all new releases are thoroughly tested by Sybiz prior to release, it will never be possible to guarantee 100% bug free software. Therefore, it is our policy to not rush out and install everyone immediately, preferring to wait a while.

The above policy has been advantageous to customers in the past, particularly when the customer:

makes use of modules that are typically not used by a high percentage of the customer base

makes use of a high number of features of one module that need to work together to complete a task

Upgrade Season

If you want to upgrade but are happy to wait until the software has “settled in”, then let us know and we will contact you later to arrange a suitable time for an upgrade appointment.

Special Offer: Is your network ready? -

We often find upgrades take longer to perform when your network or server have not been maintained regularly. In addition, backups prior to the upgrade are imperative. To ensure your systems are prepared for upgrading we are extending this special offer to clients until 31st December 2011: We will have one of our Networking Specialists check out your systems to ensure they are performing at their optimum, and prepare a no obligation recommendation for possible improvements. Normally available for a minimum two hour charge, we are providing this service for half price until 31st December 2011. If you’d like to take advantage of this offer then mention “Half Price Checkup” when booking you upgrade appointment.

If you have any queries on the information above, please contact the tsh team on 08 7324 9500.

Is your Sybiz Cover up to date?

Sybiz Cover customers that receive the upgrade but have not renewed their Sybiz Cover at the date of installation will need to pay a fee before proceeding with the upgrade.

NOTE: if your Sybiz Cover has expired and you have received an upgrade then you will only be able to install it once you have paid your Sybiz Cover Renewal. Click here to request a Renewal Quote to renew your Sybiz Cover Membership.

Please note the minimum system requirements have changed slightly since the last release:

Pentium 1GHz processor

Minimum 1Gb of RAM per workstation (2Gb is highly recommended)

Being connected to your customers used to be a monthly paper based newsletter, or perhaps email, and a phone system.

Today’s Business Connection strategy surpasses a web site, and a phone system. It integrates your business system with your website, providing timely information on pricing and availability, allows customers to place orders, and check account details. Your phone system is no longer a bunch of phones lines, but more an integrated system which includes your mobile devices, has automatic diversions in place, and ensures that no customer ends up talking to a machine in some phone system dead end.

Further it will enable your team to have more timely access to your systems, through mobile devices and online systems. With tools like Small Business Server, Outlook Anywhere and Remote Web Workplace, to Cisco connection solutions, and 3cx phone systems, TSH has the solutions for your business connection needs.

By using Systems Practice tried and tested SPNET software to leverage your existing system information, the need to manually maintain a web site of products pricing and availability is a thing of the past.

With a tight Business Connection Strategy you will remain in contact with your most important assets – your customers, and your suppliers.

The reporting challenge

As with any business the challenge is to have better information to help you focus your activities in the most important areas. We can’t do everything, or be everything to everyone, so to have timely accurate information is imperative.

But often turning your data into information or knowledge can be a daunting if not impossible task. You begrudgingly make do with the “standard” reports, or even summarise that information into Excel by hand (did anyone say Exxon!?)

Well I’m here to tell you that there is a better way, and it is very much achievable – Enter “Business Intelligence”.

What is Business Intelligence?

Business Intelligence is not just another reporting tool – and to think of at this is missing the point somewhat. It’s not to say it can’t provide enhanced reporting, but because is it so much more efficient at summarising information, the net result can be that much more useful.

At TSH we understand the difference, and have taken this one step further. By creating the “Universal Data Stream”.

What is Universal Data Stream?

Universal Data Stream – (or UDS) is a way of summarising your data from many years of processing into a format that can be used to build reports even more quickly, and more powerfully than ever before.

Why do we feel we can make these claims?

Well let me ask you this – how long would it take to create a year by year comparison of the Profit and loss data from your business – for every year since your data system has been in use?
By combining these technologies together we can produce this report – fully up to date in less than a minute (on many systems) – and ready for further analysis directly in Excel.

But, this is not limited to financial data, it can be extended to sales, purchases, job, inventory, service, and even manufacturing production data.

But enough of the broad statements, if you want to see this in action, then let us know and we’d be more than happy to provide a demonstration, and discuss your requirements further.

What is your Business Interruption Protection Strategy?

We often forget how important our business IT systems are – and how much impact they would have on our essential business operations if they failed catastrophically.

Every interruption to you daily business operations costs you money. Some, like incoming telemarketing calls, are annoying and difficult to avoid. But what if you always had someone to screen those calls, to ensure you never got disturbed again, and that only what you needed got through.

Computer networks – an unavoidable and essential part of running any modern business – suffer from the same interruptions. From the annoying telemarketing call – or SPAM, through to vandalism, theft, and fire.

However, the days of simply having anti-virus software, a backup and a UPS, are almost last century. Both the threats we are exposed to today, and the methods for protecting your assets from those, have evolved.

In addition, the threat landscape is also not entirely of a malicious or intentional nature. Events such as earthquakes and floods, accidental loss or corruption, and power events (lightening, blackouts) continue to inhabit the landscape.

And in your capacity as an officer of the business you work in, ensuring the ability of that business to survive these threats critical. Correct?

What you need is a strategy to protect your business from these threats in a reliable, low maintenance, with lost, but high coverage. But to provide the coverage for the range of threats that exist today, this strategy will need to consist of multiple systems, working together, to protect you and your business.

Sounds easy enough doesn’t it?

But where do we start? To help, we have put together the following assessment which is designed to highlight areas in your business that are important to you, and how well you feel your business is protected in these areas, and then help identify areas that may need attention.

Once we have identified the areas which need attention, then the next step is to match possible solutions to these to remedy each area, if required.

How to complete your “Threat Profile” Assessment.

Simply enter your score from 1 to 5 (1 – Low, 5 – High) in the “Importance to me” and “My current satisfaction” columns.

Once complete go back and review your answers, and anywhere your score in column two, is lower than you score in column one, then tick the box “Needs attention”.

Click here to open the Threat Assessment questionnaire.

Threat Protection Framework

From your assessment, you should now in a better position to appreciate what areas need more attention, if any. Now we can prepare a “Threat Protection Framework” that can be employed in your business to protect your systems. This will be made up of multiple components, some of which you will already have in place. To help simplify process of selecting what is needed we have created “templates” for two distinct levels of protection -Level One – Standard (for most businesses) and Level Two – Enhanced (for businesses which are more at risk). The following is a comparison of the three levels and what is covered.

Click here to open the Threat Protection Framework guide.

Add-on Options

Whilst the base level Protection Frameworks are adequate for most businesses, the following items may also be needed to provide specific coverage for risk exposures that exist in your business.

Critical Systems Imaging

Should a critical machine fail catastrophically – total loss of all hard disk information, then most standard backups will only recover some of the information, as they are not setup for bare metal recovery i.e. start from scratch. This is because in most cases, this kind of backup is not practical on a daily basis. Where critical systems imaging works, is that it creates a full recoverable image of the system so that in the event of a catastrophic failure the protected system can be recovered in a fraction of the time that would be otherwise possible. In some cases this may be hours, instead of days.

For further details contact us….

Endpoint protection – protecting loss or theft of data on USB, and other portable devices.

According to the Ponemon Institute, 59% of people who lost their job admitted to taking confidential company information with them either on DVD or using USB drives. Endpoint protection is about protecting the transfer of your business data to and from portable devices.

For further details contact us….

Email Archiving

The Electronic or Paperless office has been talked about for what seems like decades. The ability to electronically file documents without the need for costly physical filing and storage systems. One extraordinary benefit of this is the ability to remotely store this information protecting it in case of fire. But is this part of your systems. Email archiving is a key part of this – to electronically record and archive information transactions such as orders and other critical correspondence. In the US – the Sarbanes Oxley Act has created the need for this and other imperative Technology solutions.

At your premise it is a good idea to have locks on the front door. But sometimes, you would prefer to stop people at the gate, and not let them get near your critical systems. And so it is with network security. Many of the protection systems are ‘added’ to your actual systems – not to the perimeter – so they are addressing the issue after they have gotten into your systems. Where a Network Security Appliance comes in is to stop intruders at the front gate. It’s like building a high fence, with a big heavy gate, and guard dogs. It’ll stop even serious intruders before they even get close to your internal systems.

Creating the right Framework for your Business.

It goes without saying that no two businesses are the same. And therefore what you will end up needing may not exactly fit with the above Levels. Ultimately we can tailor a Framework to meet the needs of your business, and provide the protection you require.

The next step is to provide a tailored Estimate of the items and components required to implement your Protection Framework. This will include a cost for setting up, and in some cases (but not all), an ongoing service fee.

Frequently Asked Questions

How much protection do I need?

If you’re not sure then more is best. However, if you think of the impact or cost of the various threat areas, then this will guide you in the selection of the most appropriate level solution. A system that is more complex than you will use, even though appropriate, is probably not worth investing in. However, one which is appropriate and effective will provide you the best and most reliable protection.

What is “Layered Protection”?

Perhaps the best analogy of layered protection is sitting in the driver’s seat of your car. How many individual protection systems can you count protecting your safety? We have safety glass, soft surfaces, side impact protection in the doors, seat belts, and now, air bags – front and side, and now curtain. Not only that but also, Anti-lock brakes – to prevent you even having an accident in the first place. And so you should as these are protecting your life.

The point is, that one protection system alone cannot protect you from every situation.

And so it is with your critical data? Perhaps you have a backup of your data, but is that enough? Not usually, but it is what most people start with. Other data protection layers include redundant hard disks, multiple off site backups, regular system imaging etc…

In short, one simple backup is not enough anymore – you have higher expectations and reliance on your systems, and now the protection systems available are a) more available, and b) more affordable.

Automation vs manual systems – but I can run the backup manually!

It is said that complexity is the enemy of reliability. However as with most things not enough complexity also means ineffective. Take a home security system with only one detector – by the front door! If they come in the back door what good is it.

And so it is also with technology protection systems.

If reliability is the aim and is equal to “Appropriate Complexity” X “Automation” X “Periodic auditing”, then a system that is well designed, runs automatically, and is monitored and audited regularly will be the best system possible.

How serious to I need to take my backup?

That is up to you, but perhaps reviewing the following will help you decide for yourself.

To fully utilise the internet in 2011 and beyond you will require a network that can support a new internet standard called IPv6, this is a new standard that sits side by side with IPv4 the current standard.

Most infrastructure devices can already support it as the standard has been around for quite some time now, but for devices that cannot support it they will need to be upgraded.

To actually receive IPv6 to your network you must have a Modem or Router that supports the IPv6 standard, in this document you will find the paths that can assist you with finding the correct upgrade path for your business.

New Hardware?

Cisco 887M + Advanced IP Services

Cisco is a world leading brand, the recommended choice of many IT organisations and powers much of the core internet systems.

The Cisco 887M provides exceptional power and control for Small to Medium businesses and has the best support of all network equipment.

If your business has a need to connect branch offices to a head office, or have secure connection to the office for remote users the Cisco 887M is a must have for your business.

The Cisco 887M can also be configured to perform many functions ranging from redundancy, remote management, precision control of data flow, enhanced security and more.

Price $900 ex gst

Netcomm NB6Plus4

The Netcomm NB6Plus4 is the recommended choice in routers for SOHO businesses and end users.

It provides the perfect balance been function and price, allowing single office businesses with basic internet needs to get online and enjoy the IPv6 internet.

Price $90 ex gst

Upgrade your existing hardware?

Cisco 887M

If your business currently has a Cisco 887M we can add the functionality of IPv6 to your device with the simple purchase of the Advanced IP Services licence.

Price $200 ex gst

Cisco 877M

The Cisco 877M may already include the Advanced IP Services licence, however if yours does not the device will need to have some hardware upgrades performed and the purchase of the Advanced IP Services licence.

Price $375 ex gst

Cisco 837 / Other

Unfortunately the majority of routers on the market to date have not included IPv6 functionality and updates are unlikely to be available, the Cisco 837 is also no longer supported and should be upgraded to the 887M to receive faster internet speeds and better security.

To help upgrade to the Cisco 887M or Netcomm NB6Plus4 tsh will buy back Cisco 837s for $50 ex gst. If you do not have a Cisco 837 but wish to purchase the Cisco 887M tsh will provide a $50 ex gst discount on the new purchase.

All a bit too confusing?

It’s ok to be confused by these changes and all the choices, even some people in IT get confused by the new standards some times.

However at tsh we pride our self in our knowledge of the latest technologies and would love to assist you with your upgrades and help guide you to the most beneficial solution for your business.

Give us a call on 08 8377 3222 and we look forward to hearing from you.

What is the Total System Audit?

Since your network was installed, many changes have occurred such as new employees, new technologies or just general hot fixes.

With all these changes sometimes security holes are opened or standards have changed since the original installation. What the TSA is designed to do is produce a report that details any areas of improvement including; security, backups, performance, and or stability.

The report may suggest purchasing new hardware such as routers or switches to provide better speeds or increased security, it may also be advised for work to be conducted to reconfigure pre-existing systems to provide better backups and increased security.

What is checked in the Total System Audit?

While we try our best to check everything it may not always be the most suitable financial option for your business, below are some examples of the common checks we advise for businesses ranging from 10-50 employees.

General Server Check-up

Check log files for any anomalies or errors

Check Anti-Virus solution is working and is up to date

Run Anti-Malware software to ensure server is not infected with malware

Ensure disk defragmentation software is running and scheduled correctly

Check for hardware that may have been added but not correctly installed

Check what processes are running in the background

Check if disk quotas are employed, and determine if they should be setup or reconfigured

Check mail box sizes and determine if quotas should be employed or simply request excessive users clean mail boxes up

Determine if user accounts are still used, disable any employee’s user accounts if they are no longer employed by the organisation

Check and Install system updates (Microsoft Products, etc)

Enhanced Network Check-up

Check current backup solutions will provide a disaster recovery system

Check UPS protects all devices required including phone system and network devices

Check UPS has required runtime capacity to meet the requirements

Check and determine if RADIUS should be implemented for VPN and Wireless Networks to provide accounting and central authentication

Determine if organisation has a need for a logging system installed to monitor network changes for fast diagnostics

Check open ports on routers are required and remove any ports not required anymore

Check passwords on all devices such as servers, switches, routers, printers, etc are secure

Check if any unnecessary services/applications are running on servers/routers and disable accordingly

Check configuration of Cisco equipment and standardise and increase security where possible

Ensure any remote access systems such as VPNs are using the highest possible security and encryption

Check and advise if organisation owns a signed certificate for use with remote web work place, outlook anywhere and other remote web services

If organisation owns McAfee provide attached vulnerability report

Security Audit

Why do I need the Total System Audit?

It is recommended to have a Total System Audit completed every 3 months to ensure your network is being taken care of and all risks and possible improvements are detailed in a report. When you purchase a new server or network it is sold as a product not a service, which means after it has been installed and tested if anything changes or goes wrong it is not covered by TSH.

With a Total System Audit we are able to check your network, and fix any problems we encounter with in the 2 maintenance hours included in the audit. After the audit and all repairs possible in the 2 hours included are completed the report will be returned with areas of concern which then we can act on with your approval.

How much is the Total System Audit?

an audit price can vary by site, but is typically around $500 ex GST + $50 ex GST per branch office (if required0, and includes 2 hours of work to repair as much as possible.

What is in the TSA Report?

The TSA report will include a written report by the technician who completed the audit, this report will detail every aspect of the check list performed and include a brief overview of areas of improvement.

Included in the TSA report is a complete network diagram detailing all the machines on your network and any settings relevant, along with the report is a copy of the physical audit check list the technician completed and any direct comments they may have had.

Example TSA Report…

<Include a sample report>

Deciding on the best software for your business can be a complex and potentially business crippling process. Likewise, deciding on the wrong solution can greatly limit your business. But it’s not all doom and gloom – getting the decision right can help your business thrive and take you to the next level.

So before you begin your journey, here are a few guidelines to keep in mind, as it’s easy to be swayed by “bright lights, and sharp pricing”.

Here we’ll look at some of the common mistakes businesses have made, and with this knowledge better prepare you to make the best decision.

What is the best product for my business?

This would seem like the best question, but in fact it is the wrong question! Often when deciding on a new system the focus will be on the product, which is quite normal. However, once you have purchased the product, it is the ongoing assistance and support of the organisation you have decided to purchase from which will more heavily influence the value you will obtain from your chosen software.

So, the point here is to not just consider the product on it’s own, but the total solution which you are committing to – which includes the consultants, the support organisation and the product!

Should we have the “best” software we can afford?

No! – you should have the right software for your business, regardless of price. Simply buying on price, or what other’s use in their business is often buying the wrong software to work in your business.

When purchasing a home security system it is said that the answer to “what is the best system for my needs?” is simply “the one you will use”. The point being, that there is no value in installing the best system in the world, if you find it so challenging, that you stop using it.

We have seen customers invest in solutions “above” and more expensive than they need, only then to have to employ additional staff to manage it, and then even revert back to using a lesser package – because the package they invested in was simply too complex, or not suited to their needs.

Should we only buy a package if it meets “all” of our requirements?

No! – you should invest in software that meets all of your “needs”, and has the capacity to grow with your business. Simply put, it’s Pereto’s Principal – to obtain software that meets “all” of your requirements will normally cost 4 times the price as buying software which meets all of your “needs”.

The importance here is to be very clear about what are “needs” and what are “like to haves” – it’s the “like to haves” that normally end up costing the extra money, and essentially are often not really required.

Should we purchase software that is suited to our staff, or software that is right for our business?

This will depend – on whether your business is growing or stable – to some extent. Often when businesses change software as they grow, some staff will change anyway.

If your business is relatively stable, and you simply need better software, then buying to suite the abilities of your team may be the correct strategy. However, if you business is growing, chances are you will be employing new staff anyway, so best to buy software that’s right for your business, as this will support your growth plans, and help your business grow.

How much training will i need?

This will mostly depend on the expertise of the people using the software. If you are moving up a grade of software, then your people may need further training beyond software training. The role of the “software trainer” is to provide training on the software, not on the role itself. An example of this is in manufacturing, where we can provide training on using the software, but if you need training on manufacturing theory, then there are colleges that provide this level of training and certification.

Software Testing - Whilst all new releases are thoroughly tested by Sybiz prior to release, it will never be possible to guarantee 100% bug free software.

Upgrade Season - If you want to upgrade but are happy to wait until the software has “settled in”, then let us know and we will contact you later to arrange a suitable time for an upgrade appointment.

Special Offer: Is your network ready? - We often find upgrades take longer to perform when your network or server have not been maintained regularly. In addition, backups prior to the upgrade are imperative. To ensure your systems are prepared for upgrading we are extending this special offer to clients until 31st December 2010: We will have one of our Networking Specialists check out your systems to ensure they are performing at their optimum, and prepare a no obligation recommendation for possible improvements. Normally available for a minimum two hour charge, we are providing this service for half price until 31st December 2010. If you’d like to take advantage of this offer then mention “Half Price Checkup” when booking you upgrade appointment.
